Yes! Simply open TheraBee in a window on either the same computer you are using for telehealth or a separate device and start the session. Please note that TheraBee is unable to listen to conversations accurately when the provider uses headphones.

TheraBee listens to the session and does create a temporary audio file in order to create the session summary; however, once the session is transcribed the program deletes the audio file. As a policy, all clinical notes are automatically deleted every 30 days and are scrubbed of any personal identifiable information – we do not retain any of your clinical notes or data for training or any other use.

Certainly, you can delete clinical notes from your user history at any time. Once a record is deleted on your end for any reason, it is also deleted on ours. We are not responsible nor liable to produce any notes once you have authorized that they be deleted.

Currently, TheraBee provides either a SOAP formatted progress note or a standard summary. We are in the process of making this increasingly customizable to include other clinical note types, languages, and therapist personas.

You are welcome to initiate the TheraBee helper at any time by selecting “Begin Session.” You may wish to detail select information about the client before they enter to ensure the clinical note has appropriate context (e.g., detailing information about the client or circumstances of the visit). Simply add any verbal details, then select “Pause”; once you begin meeting with the client, you can seamlessly resume the session and TheraBee will continue listening.

In the US, laws about recording conversations (even if only temporarily to create a summary note) vary by state. Professionals and businesses should consult with legal counsel to understand and ensure compliance with their state and healthcare requirements. Our recommendation in all cases is to ensure your clients are informed and given an opportunity to consent to the use of any technology that might store or process personal information. Below is illustrative consent language that may be leveraged for your practice:
“Our practice utilizes TheraBee, a HIPAA-compliant clinical transcription service, that assists your therapist with clinical documentation. This platform allows therapists to place greater focus on client care than on administrative tasks during sessions. This technology works by transcribing a therapy session into a clinical note which the therapist can use to maintain and improve your treatment. Neither TheraBee, nor your therapist retains recordings and all transcription summaries are anonymized to remove any personal identifiable information. Each summary is automatically deleted within 30 days, or earlier at the therapist’s discretion. TheraBee uses a variety of technology and policy safeguards to safely process your data, including advanced encryption. TheraBee follows HIPAA guidelines to ensure your information is secure. By signing below, you acknowledge to have read and understood this information and consent to receiving services under the conditions outlined here.”
